These Terms of Service ("Terms") govern your access to and use of ClinicPylot (the "Service"), a software-as-a-service product that helps dental clinics in India recover revenue from incomplete treatment plans, missed recalls, and no-shows via WhatsApp. By creating an account or using the Service, you agree to these Terms.
1. Eligibility & accounts
The Service is intended for registered dental clinics and their authorised staff in India. You are responsible for keeping your login credentials secure and for all activity under your account. You must provide accurate clinic and billing information.
2. Acceptable use
- You will only use the Service to communicate with patients who have a genuine relationship with your clinic and for legitimate appointment and treatment follow-up.
- You will obtain all consents required under applicable law (including the DPDP Act, 2023) before adding patient contacts.
- You will comply with the WhatsApp Business / Meta Cloud API policies. Sending spam or unsolicited messages is prohibited.
- You will not send clinical, diagnostic, or sensitive health information through WhatsApp messages.
3. Subscriptions & fees
- Pilot: a six-week pilot is offered for ₹999, with a refund guarantee as described in our Refund & Cancellation Policy.
- Subscription: after the pilot, the Service is offered at ₹1,499 per month or ₹12,000 per year (billed in advance). All prices are exclusive of applicable taxes unless stated.
- Payments are processed by Razorpay. Subscriptions renew automatically until cancelled.
4. Data & privacy
Your use of the Service is also governed by our Privacy Policy. You act as the Data Fiduciary for your patients' data and ClinicPylot acts as a Data Processor on your instructions. Personal data is stored in India (ap-south-1).
5. Service availability
We aim to keep the Service available and reliable but do not guarantee uninterrupted operation. Message delivery depends on third parties (including Meta and telecom networks) outside our control.
6. Intellectual property
ClinicPylot and its software, design, and content are owned by us. You retain ownership of your clinic and patient data. You grant us a limited licence to process that data solely to provide the Service.
7. Limitation of liability
To the maximum extent permitted by law, the Service is provided "as is", and our aggregate liability arising from the Service is limited to the fees you paid in the three months preceding the claim. We are not liable for indirect or consequential losses.
8. Termination
You may cancel your subscription at any time (see the Refund & Cancellation Policy). We may suspend or terminate access for breach of these Terms. On termination, we will delete or return your data in accordance with the Privacy Policy.
9. Governing law
These Terms are governed by the laws of India, and the courts of India shall have jurisdiction over any disputes.
